Overall responsibility for managing facilities for Irvine location and administration support to Irvine office.

Key Responsibilities

  • Answering company phones and greet visitors and deliveries.
  • Internally focused to set up interviews, follow up and HR Admin support.
  • Workstation set up including workspace, phone, and computer equipment.
  • Manage buildouts, such as, new cubicles and office expansions.
  • Maintain conference rooms and ensure equipment is in working order.
  • Maintain calendars for office (all hands, pay schedule, and events)
  • Organization and stock communal areas, such as, kitchen and printer areas.
  • Main point of contact for vendors, for alarm, facility repairs, and related.
  • Order office supplies, including business card ordering, Key Fobs, and office/desk keys.
  • Support IT by maintaining computer equipment and computer set up, such as, new accounts, passwords, and working with CloudStep.
  • Maintain email distribution accounts, employee phone list, anniversaries, birthdays, general reports.
  • Receive packages and sending packages as well as manage incoming and outgoing mail.
  • Employee events and service coordination, such as, car wash, luncheons, and related to create positive work environment.
  • Provide administrative support for managers in Irvine office.
  • Employee onboarding for office and IT related.
  • Employee offboarding for office and IT related.
  • Set up meetings and provides admin support to office.
  • Related projects as assigned.


  • 3 to 5 years in similar role
  • BA or equivalent work experience
  • Startup experience desired
  • Strong: Excel, Outlook, MS Teams, and Power Point skills
  • Highly organized
  • Flexible and adaptable
  • Effective communication skills
  • Experience working with managers
